SUBJECT: A RESOLUTION AUTHORIZING THE TRANSFER OF BUDGETED AND
APPROPRIATED FUNDS IN THE AMOUNT OF $135,000 FROM
PROJECT NO. CI2302 – FIRE RECORD MANAGEMENT SYSTEM TO
THE FIRE DEPARTMENT’S CAPITAL BUDGET FOR COMPUTER
EQUIPMENT > 2500
SUMMARY:
This Resolution approves the transfer of previously budgeted and appropriated funds in
the amount of $135,000 from Project No. CI2302 – Fire Record Management system to
the Fire Department’s Capital Budget for Computer Equipment > 2500.
PREVIOUS COUNCIL ACTION:
In November 2022, the City Council passed and adopted the 2023 Annual Budget
approving the appropriation of $300,000 to CI2302 for the Fire Department’s Record
Management system.
BACKGROUND:
Project No. CI2302 was initially created to replace the Fire Department’s current
Records Management system. The replacement system costs for their new system
modules are less than what was appropriated to this project. Due to a funding error, in
the 2023 Annual Budget, Fire did not receive capital budget to replace this aging
equipment. The equipment in the Fire trucks is over six (6) years old, out-of-warranty
and failing, and must be refreshed. A portion of the unused funding in the CI2302 is
enough to replace these computers running 24 x 7 in environmentally harsh year-
around conditions.
FINANCIAL IMPLICATIONS:
Transferring these funds will ensure appropriate funding for twenty-two GETAC V110
computers ensuring reliable operating equipment in the Fire Department’s fleet.
BOARD/COMMISSION RECOMMENDATION:
Not applicable to this resolution.
STAKEHOLDER PROCESS:
Not applicable to this resolution.
ALTERNATIVES:
If the City Council does not approve this Resolution, the Fire Department will not be
able to replace their aging computers required to respond effectively and efficiently to
calls of service impacting life-saving operations.
RECOMMENDATION:
Approval of the Resolution.
